Gear

The Gear page tracks the equipment for a production, with automatic spec matching against CineFlow’s gear catalog and reusable equipment packages.

Open a project and click Gear in the sidebar. Reusable packages live under Equipment in the sidebar (the Equipment Packages page).

Views: Table, Cards, List. The Display options popover has Sort by (Department, Name, Priority, Pickup Date, Created), Show toggles (Group by department, Ownership, Dates, Notes), a Filter section by owner and department, and a Gear insights link. In Table view the Columns popover manages columns (Name, Department, Status, Qty, Priority, Ownership, Address, Pickup, Dropoff, Notes) and lets you add custom columns.

The redesigned table that the shot list’s Table view gained is reaching people gradually, and when you have it there you have it in Gear’s Table view too. If the column header row ends in a + button, you have the new table and this section describes what you see. If it does not, the rest of this page describes your Table view, and nothing in this section applies to you yet. Cards and List are unchanged either way.

  • Departments stay put. With Group by department on, each department is its own card with a heading, and the heading stays pinned at the top while you scroll that department’s rows, until the next department’s heading pushes it out, the way a scene heading does on the shot list.
  • Columns. Every column label carries an icon, and each cell lines up with its label. Name stays put while you scroll sideways. The + at the end of the header row opens the same Visible columns panel as the toolbar’s Columns button, where you can turn columns on and off, drag them into a new order, add a custom column, or Reset column layout.
  • Sort from a column header. Click Name, Department, Priority or Pickup to sort by it, and a small marker appears beside the label. It is the same sort the Display options popover sets, so whichever one you use the other shows it. Created has no column of its own and stays in the popover. Sorting changes the order you see and nothing that is saved.
  • Widths. Drag the line at the right edge of a column label to resize it. Clicking the label sorts; the line at the edge resizes; the two never overlap. Each column has a minimum width it will not shrink below and stops there; Qty stops much narrower than Name. Name will not grow so wide that it covers the columns to its right. When the columns are narrower than the window the table fills it; when they are wider it scrolls sideways.
  • Your layout is remembered per project. The columns you show, their order and any width you drag are saved for you, for this project. A different project starts from the defaults.
  • Nothing else changes. The same cells edit inline, click Status and Priority to cycle them, and the pencil and delete buttons at the end of a row do what they did.
  1. Click Add Item in the top bar.
  2. In Add Equipment, fill Equipment name (required), Department (Camera, Lighting, Grip, Sound, Art, Wardrobe, Other, or type a custom one), Quantity, and optionally Ownership, Priority (Critical, Essential, High-Priority, Standard), Owner address, Pickup date, Dropoff date, Notes, and the Technical Specs & Notes accordion (weight, power, voltage, amps, batteries, runtime, connector, mount, notes).
  3. Click Add Equipment.

Alternatively, use the Add from package panel next to the form: pick a package, choose items and quantities, and click Add N items.

After you add an item, CineFlow matches its name against the gear catalog in the background:

  • A confident match links automatically and shows the item’s spec pills (weight, power, amps) from the catalog.
  • Otherwise the row shows a Review match or No match found badge. Click the badge to open Link to Gear Intelligence, search the catalog, and click Link.
  • To process many at once, open Gear insights and use Batch match N unlinked items: click Scan N items, review the suggestions, then Link N selected.

Linked items show catalog specs in the specs panel; your own entries in Technical Specs & Notes always take precedence.

  • Table cells edit inline: click to edit text, use steppers for quantity, click Status to cycle Needed, Confirmed, Missing, and click Priority to cycle Critical, Essential, High-Priority, Standard. Cards and List edit through a pencil popover.
  • Delete an item with its trash icon (confirmed).
  • Select rows for the bulk bar: Status, Priority, Dates (set or clear pickup and return), Set Owner, Delete, Clear selection.

Gear insights (from Display options) opens a drawer with totals (Total items, Total quantity, Upcoming pickups, High priority, which counts everything above Standard), breakdowns by department and priority, Upcoming pickups (14 days), and Overdue dropoffs.

The Equipment Packages page manages reusable kits owned by you (not tied to one project):

  • New Package creates a package; rename inline and set Owner / Rental House and Address.
  • Add items with Add item (name, department, quantity), edit or remove them, and optionally link items to the catalog.
  • Apply a package to a project from the Gear page’s Add from package panel.
  • Import JSON and Export live in the top bar: export produces PDF (with orientation) or JSON for selected packages; import accepts a previously exported JSON file.
  • AI Smart Import extracts gear items from pasted text or an uploaded file (CSV, PDF, or image) into the selected package.

The project Gear page’s Share popover has Export PDF (organize by Department, Ownership, or Flat list, and scope by departments and owners) and the public gear list link. See Exports and PDFs and Sharing and permissions.

  • Viewers see the gear list read only and can copy an existing public link.
  • Offline, the gear list is read only (“Editing unavailable offline”).
